We are subject to the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in Schedule 1 of that Act. This policy explains how we collect, use, hold, and disclose your personal information in accordance with those obligations.

What information we collect

• Your name and email address when you enquire, register, or sign up as a client
• Your phone number if you provide it during onboarding
• Payment information processed securely through Stripe. We do not store your card details directly.
• Communications you send us by email or through any contact form on this website

Health and fitness information we may collect includes:

• Your current fitness level, weekly training volume, and running history
• Injury history and any current physical limitations
• Race goals, target events, and performance data
• Training data synced through TrainingPeaks, including pace, distance, heart rate, and GPS data from your Garmin device
• How you feel during and after sessions, as reported through the client portal or in catch-up meetings

When you visit groundworkrunning.com.au, our hosting provider may automatically collect standard technical information such as your IP address, browser type, and pages visited. This data is used solely for the purpose of maintaining and improving the website. We do not use third-party advertising cookies or tracking pixels.

How we collect your information

We collect information directly from you in the following ways:

• Through the client intake form completed before your program begins
• Through enquiry forms on this website
• Through the client portal when you log runs, communicate with your coach, or book catch-up sessions
• During in-person or online coaching sessions and monthly coffee catch-ups
• Via email or other direct communications
• Through TrainingPeaks and Garmin Connect, where you have connected those accounts and authorised data sharing

We will always tell you why we are collecting information and how it will be used at the time of collection. We will not collect more information than we reasonably need.

Why we collect your information and how we use it

We collect and use your personal information to:

• Deliver and manage your personalised running coaching program
• Build and update your weekly training plans based on your goals, progress, and health status
• Monitor your training load and make adjustments to reduce injury risk
• Facilitate catch-up bookings and session scheduling
• Process payments for coaching services via Stripe
• Communicate with you about your program, including sending your plan to TrainingPeaks
• Comply with legal obligations

We will not use your personal information for any other purpose without your consent, unless required or authorised by law.

We do not use your information for direct marketing to third parties. If we wish to send you any marketing communications beyond direct program-related updates, we will seek your separate consent and give you a clear option to opt out at any time.

Third parties we share information with

We do not sell, rent, or trade your personal information. We may share information with the following third parties only to the extent necessary to deliver our services:

We use TrainingPeaks to load and deliver your weekly training plans. Your name and training data are shared with TrainingPeaks for this purpose. TrainingPeaks is a US-based platform governed by its own privacy policy, available at trainingpeaks.com/privacy-policy. By engaging our services you consent to the use of TrainingPeaks for plan delivery.

Payment processing is handled by Stripe, Inc. Groundwork Running does not store your payment card information. Stripe's privacy policy is available at stripe.com/au/privacy.

If you choose to sync your Garmin device to TrainingPeaks, data is transferred between Garmin and TrainingPeaks in accordance with their respective privacy policies. Groundwork Running does not have direct access to your Garmin account.

We may disclose your personal information if required to do so by law, or in the good faith belief that such disclosure is reasonably necessary to comply with legal process, to protect the rights or safety of Groundwork Running, our clients, or the public.

Overseas disclosure

Some of the third-party services we use, including TrainingPeaks and Stripe, are based in the United States. When we disclose your personal information to these overseas recipients, we take reasonable steps to ensure they handle it in a manner consistent with the Australian Privacy Principles.

By using our services, you consent to your information being transferred to and processed in countries outside Australia where our service providers operate. These countries may not have privacy laws equivalent to those in Australia.

How we store and protect your information

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps include:

• Secure, password-protected access to the client portal
• Use of reputable third-party platforms with their own security certifications (Stripe, TrainingPeaks)
• Limiting access to your personal data to only those who need it to deliver your program

We retain your personal information for as long as necessary to deliver your coaching program and meet our legal obligations, and no longer. If you cease to be a client, we will retain only the minimum information required by law (such as financial records) and will securely destroy or de-identify any other personal information upon request.

Health information and sensitive data

Under the Privacy Act, health information is classified as sensitive information and is subject to a higher standard of protection. We collect health and fitness data only:

• With your explicit consent, provided through the client intake form
• Where it is reasonably necessary to deliver safe and effective coaching
• In a manner that is proportionate to the purpose — we do not collect health information beyond what is needed

We will never use your health information for marketing purposes, share it with third parties without your consent (except as described in Section 5 above), or retain it beyond the period necessary for the coaching relationship.

Your rights under the Australian Privacy Principles

Under the Privacy Act 1988, you have the right to:

• Access the personal information we hold about you
• Request that we correct personal information that is inaccurate, incomplete, or out of date
• Request that we delete your personal information, subject to any legal obligations we have to retain it
• Complain about a breach of the Australian Privacy Principles

To exercise any of these rights, please contact us using the details below. We will respond to all requests within 30 days. There is no charge for making a request, though we may charge a reasonable fee if the request is complex or requires significant resources to fulfil.

Cookies and website tracking
